1. Introduction

We're excited to help you run operations better, but first, the legal bit.

Welcome to Office IQ. These terms apply to your use of our platform, including our web-based SaaS platform, mobile interfaces, integrations, and support channels. They apply to both free and paid users.

By signing up, logging in, or using the service in any way, you agree to these Terms of Service, our Privacy Policy, and any applicable plan pricing or feature-specific terms.

If you don't agree, please don't use Office IQ.

2. Joining and Using Office IQ

Subscribers pay for the service. Invited users must follow the same rules.

• When we say you or your, we mean the individual or entity using Office IQ.
• When we say Office IQ, we, our, or us, we mean the operators of the Office IQ platform.

There are two main types of users:

• Subscribers: the person or business that pays for and controls the subscription
• Invited users: people added by a subscriber to help run their account

All users must accept these terms and use Office IQ responsibly.

3. Subscriptions and User Access

Your access is based on your role. The subscriber controls who's invited.

As a subscriber, you're responsible for:

• Managing access to your workspace
• Assigning user roles and permissions
• Ensuring payment details are accurate
• Complying with these terms on behalf of your organisation

Invited users can be added or removed at any time. The subscriber is responsible for all activity carried out by invited users within their workspace.

4. Pricing, Plans & Renewals

You pay based on the plan you select. All plans auto-renew unless cancelled.

• All paid plans renew automatically at the end of the billing cycle (monthly or annually)
• You can upgrade or downgrade your plan at any time
• All amounts are shown in GBP and exclude VAT unless stated otherwise

5. Free Trials

We may offer free trials, which convert into paid plans if not cancelled.

• Free trials are time-limited and only available once per customer or team
• If you enter billing details during a trial, charging will begin at the end of the trial unless you cancel beforehand
• If no billing details are added, your trial will expire automatically

6. Refund Policy

Refunds are limited. Monthly plans are non-refundable. Annual plans are discretionary.

We follow applicable UK consumer law, including the Consumer Contracts Regulations 2013, alongside the policy below.

Monthly Subscriptions

• Non-refundable once the billing cycle begins
• "Use" includes logging in and performing any action such as uploading, inviting, or editing

Annual Subscriptions

• Full refund within 14 days if no meaningful use has occurred
• After 14 days, refunds are not guaranteed but may be considered on a case-by-case basis

7. Data and Privacy

You own your data. We just help you manage it securely.

• You retain ownership of any data you input into Office IQ
• You grant us a licence to store, back up, and process your data solely to provide and improve the service
• We may create anonymised statistical insights to improve platform performance and usability
• Our Privacy Policy explains how we handle personal data and comply with UK GDPR

8. Confidentiality

We protect your confidential information and expect the same from you.

• We won't disclose your non-public information except where required by law or necessary to deliver the service
• You agree to protect confidential information relating to our systems, internal tools, or unreleased features

9. Security

We take data protection seriously, but you play a part too.

We use security best practices including encryption, backups, and secure authentication.

You're responsible for:

• Keeping your login credentials secure
• Immediately notifying us of any unauthorised access

We recommend enabling two-factor authentication (2FA) where available.

10. Acceptable Use

Don't break the law or harm others using Office IQ.

You may not:

• Use the service for any unlawful activity
• Share false, misleading, or harmful content
• Upload viruses or malicious code
• Attempt to reverse engineer the software
• Abuse, harass, or threaten others

11. Third-Party Integrations

You may connect Office IQ to other apps, but those are separate contracts.

• Office IQ integrates with third-party tools such as Google Drive and Outlook
• These tools have their own terms and privacy policies
• We're not responsible for issues caused by third-party platforms or their data handling

12. Fair Use and Platform Limits

We support fair usage to ensure performance for everyone.

• Reasonable limits may apply to storage, API usage, or user actions
• Excessive or abusive use may result in warnings, suspension, or termination
• We'll notify you before enforcement action where possible

13. Modifications and Updates

We regularly improve the platform, sometimes that means changes.

• Features may be added, changed, or deprecated at any time
• We'll give reasonable notice of material changes where possible
• Continued use after a change means you accept the change

14. Account Termination

Either side can end this agreement. Some terms survive.

By you

• Cancel at any time via your account settings
• Access remains until the end of the billing period
• No refunds unless covered under Section 6

By us

• We may suspend or terminate your account with notice
• Immediate termination may occur if you breach these terms or applicable law
• Data may be retained for legal or support purposes in line with our retention policies

15. Liability and Indemnity

We limit our liability. You use the platform at your own risk.

Office IQ is provided "as is" without warranties.

We're not liable for:

• Loss of profits, revenue, or data
• Business interruption
• Issues caused by third-party services

Maximum liability is limited to the amount you've paid in the previous 12 months.

You agree to indemnify us against claims or damages arising from misuse of the service.

16. Governing Law

Which laws apply.

These terms are governed by the laws of England and Wales. Disputes will be resolved by the courts of England and Wales.

If any part of these terms is found unenforceable, the remaining sections will continue to apply.

17. Changes to These Terms

We may update these terms, but we'll give you notice.

• Changes won't apply retrospectively
• Material changes will be communicated by email or in-app
• If you disagree, you may cancel before the changes take effect
